Are you our new Office Assistant?

Who are we looking for? We are looking for someone who is very well organised and is keen to keep the agency running smoothly. They would need to be a versatile individual who possesses exceptional communication skills, is reliably efficient and has the ability to multi-task.

The role would have the following responsibilities:


  • Answering the main telephone number and ensuring messages are passed onto the right people

  • Meeting and greeting guests – liaising with the building’s main reception

  • Booking meeting rooms and getting them set up for client meetings

  • Maintaining our reception area / tea point / meeting rooms and ensuring high standards for when guests arrive

  • Maintaining stock levels across the office e.g. tea/coffee/milk/biscuits/cold drinks etc. and stationery

  • Delivering post to the right person and getting our post out

Office Management Support

  • Coordinating daily calendars of senior managers and making travel arrangements when necessary

  • Keeping us up to standard with Heath & Safety, First Aid & Fire Safety

  • Keeping on top of maintenance schedules

  • Organising social events (incl. our annual December Conference) and ordering the team Friday breakfast

  • Handle the smooth running of pooled office equipment such as laptops and ensure printers are well maintained.

  • Keeping our office décor projects on track

Finance Support

  • Keeping accurate records

  • Scanning in and checking expenses

Marketing & New Business Support

  • Updating our Social Media and Website

  • Supporting the team with research on new clients and competitors

  • Maintaining a database of contacts

  • Analysis of our comms

Building Relationships

  • Be prepared to get involved, from offering to help on a new business pitch to recommending the next social idea

  • Be engaged with company emails and be responsive when necessary

What systems and software skills are required?

It would be beneficial for an Office Assistant to have some experience of:

  • MS Excel

  • MS Word

  • PowerPoint

  • Outlook
